Job Description & List of Key Tasks:
Specific Responsibilities
- Delivering a comprehensive financial planning administration service to support the Wealth Manager throughout the client onboarding process and maintaining on-going client relationships.
- Interacting with existing and prospective clients on behalf of the Wealth Manager, ensuring that all communications are carried out in a professional and courteous manner and providing a proactive client service. This is including but not limited to obtaining information to create cashflow plans in advance of meetings and follow-up for the return of documentation.
- Ensuring client data points on internal recordkeeping systems are accurately input, reviewed and maintained for the Pod.
- Ensuring sufficient cash balances are maintained on accounts for fees, regular payments, etc.
- Ensuring any identified performance anomalies are investigated and resolved.
- Monitoring client accounts for any investment guidelines violations, updates and changes.
- Produce high-quality and professional client-friendly reports, including CGT calculations, based on information provided by the Wealth Manager.
- Liaising with our Client Services team to ensure smooth client onboarding and maintenance.
- Liaising with platforms and service providers, as required.
- Preparing rebalance sheets for client portfolios with an understanding of the principles and knowledge required to rebalance and subsequently complete all required post-trade checks.
- Preparing FX sheets and liaising with the platform to place Spot FX trades, as licensed.
- Assemble all necessary documentation for client meetings, not limited to presentations /meeting materials/review documentation and confidential information.
- Accompany the Wealth Manager to meetings and take notes as required.
- Preparing client meeting summary documents based on notes taken and ensuring any follow-up action items are assigned to the relevant parties and actioned in a timely fashion.
- Preparing recommendation letters based on information provided by the Wealth Manager and implementing agreed recommendations.
- Preparing new and maintaining existing client files for the Wealth Manager, including scanning and filing client documents, maintaining these to the company’s standards and ensuring they are compliant.
- Maintaining an understanding of the firm’s client relationships and key contacts.
- Creating and maintaining effective working relationships with clients and colleagues.
- Assist with diary management for the Wealth Manager as needed; liaising with the clients to arrange/confirm meetings and managing the Wealth Manager’s time efficiently.
- Surprise and Delight – sourcing gifts for the Wealth Manager’s clients and intermediaries, ensuring purchase records are always up to date and accurate for compliance purposes.
- Attending training sessions scheduled to learn about relevant products, legislative and technical aspects of service offering and demonstrate a good understanding.
- Demonstrating a can do attitude and a client focused attention to detail. Demonstrating a willingness for continued learning and ability to follow process and procedure.
- Assisting in the training of WAs and other staff members and sharing knowledge with peers.
- Engage in proactive idea generation to help improve process and procedure and contribute to firmwide projects where appropriate.
